1. Turning on Ongoing Monitoring
Ongoing Monitoring can either be turned on a portal wide level or can be manually set up on a case by case basis.
1.1. Automatic Ongoing Monitoring Portal Wide
Ongoing Monitoring applied at a portal wide level means any journeys that are issued (which includes international screening/PEPs & Sanctions) will automatically apply Ongoing Monitoring to the individual for the period set up.
1. To turn on Ongoing Monitoring on a portal wide basis, you will need to access the 'Settings' tab in your portal which is highlighted below.
2. You will then need to go into the Ongoing Monitoring section below.
3. Click the 'Enable' button before then choosing the length of time you wish to have Ongoing Monitoring applied for. This can be set up for days, weeks, months, years or until cancelled. As a default, Credas will set up Ongoing Monitoring for six months.
4. Click 'Save Changes'.
1.2. Manually Turning on Ongoing Monitoring
You can also apply Ongoing Monitoring on a case by case basis if you do not wish to set up to run automatically on a portal wide basis. To do this, please follow the steps below:
1. If the individual you wish to manually set up Ongoing Monitoring for has already been set up, click into their profile and run a manual PEPs & Sanctions check by clicking either of the two below options.
2. If you wish to run Ongoing Monitoring for a new individual who is not currently on the Credas portal, Click 'Add New' and select 'PEPs & Sanctions' below:
3. Next, you will be asked to confirm the individuals details and select which checks you want to include in the PEPs & Sanctions check. To turn on Ongoing Monitoring, switch on the below highlighted button and choose the timeframe you wish to run the Ongoing Monitoring.
3. Click 'Run Data Check' and you will then receive Ongoing Monitoring notifications for that individual. Please ensure you have Ongoing Monitoring notifications turned on by following the steps below.
2. Ongoing Monitoring Notifications
To add Ongoing Monitoring notifications to a user, you will need to access the Admin Portal. To access it you need to click on the 'Portal' drop down within the header of your portal. You will then be presented with a drop down list. If you cannot see an option for 'Admin Portal', you do not have the relevant permissions and will need to speak to your administrator to add the relevant permissions.
If you would like to learn more about using the Admin Portal, please see our Admin Portal User Guide here.
1. Once you are in the Admin Portal, click on the user you wish to add ongoing monitoring notifications too.
2. Next, click into the 'Notifications' tab on a users profile, as can be seen below. You will then be presented with a list of notifications available.
3. To turn on ongoing monitoring notifications, toggle on 'ongoing monitoring alert' under Email notifications. You will also need to turn on either/both 'own invites only' or 'all invites' depending on which checks you wish to receive notifications for. The example below has turned on 'ongoing monitoring' email notifications for both the users own checks, and all other checks sent out in the portal.
3. Ongoing Monitoring Example
1. When an Ongoing Monitoring alert has occurred, you will receive an email alert (if Ongoing Monitoring notifications have been set up) as can be seen below.
You will receive an Ongoing Monitoring alert for one of the below reasons:
- A new possible match (profile) has been added. This result will return as pending validation, and will need manually reviewing to remediate the change. Please see our results guide on PEPs & Sanctions here for more information.
- An existing possible match (profile) has been removed. No action is required and any previous manual remediation will remain the same.
- An existing possible match (profile) has been modified such as a photograph has been added. No action is required and any previous manual remediation will remain the same. Whenever an alert has been triggered, previous information and results can always be found in the 'Archive' tab and any previous remediation will also appear in the PDF (coming January 2025).
4. Turning off Ongoing Monitoring
If you would like to cancel Ongoing Monitoring for an individual, you can do so by clicking into 'Sanctions and PEPs' tab on the individuals profile. If Ongoing Monitoring is running for the individual, you will see the below option to 'Cancel Monitor'.
If you would like to cancel Ongoing Monitoring on a portal wide basis (please note, this will stop Ongoing Monitoring automatically applied to all future) checks, you can turn it off in the 'Settings' tab of the portal.
1. Toggle off 'Ongoing Monitoring'
2. Click 'Save Changes'.
You can turn Ongoing Monitoring back on at anytime.
